About Memeo AutoBackup Version 2

Memeo AutoBackup protects your valuable and sentimental documents. With Memeo AutoBackup, you can choose what files and folders to back up. You can store different types of files in different places (destinations), and you can back up one file in several places for added convenience and protection.

You can preserve your files in various locations according to their value and purpose, much the way you would do for your belongings: valuable items in a safety deposit box; photo albums, books, and CDs on bookshelves; and rarely-used stuff in boxes in your garage or attic. With Memeo AutoBackup, you can choose to back up items to any folder on any computer on your network, an external hard drive, a removable storage device, or a server on the Internet.

Whenever you create or save changes to a file, Memeo AutoBackup automatically backs it up. Memeo AutoBackup keeps as many versions of the file as you choose, so you can revert to a previous version of the file or see how a file has changed over time.

Memeo AutoBackup can encrypt your files, so no one else can read them without your permission. Note that encrypted backups are password protected. In order to decrypt the encrypted backups, you will need to use Memeo AutoBackup’s Restore Application or OneClick Restore feature in case you want to restore all your backed up files quickly on a system that does not have Memeo AutoBackup installed. You can choose not to encrypt the files if you want them to be accessible without having to use the Memeo AutoBackup Restore feature.

When you first configure Memeo AutoBackup, all the files you specified are backed up. After that, Memeo AutoBackup backs up your files only when they change or when new files that fit your backup plans are created.

If the backup destination is unavailable (for instance, if you have removed a USB drive you are backing up to), Memeo AutoBackup keeps a list of files that are pending backup, and Memeo AutoBackup backs them up as soon as the destination becomes available.

Memeo AutoBackup is intended to preserve copies of documents you keep on your computer. If you delete a document, it will eventually be deleted from the backup as space is needed. However, you can also use Memeo AutoBackup to archive documents you plan to delete from your computer; just follow the instructions here.

Improved Restore

It detects all the backups that were made using AutoBackup and can restore those backed up files either back to their original location or to a specified location. This way, if your computer crashes, you can easily recover all your latest files.

-          Normal restore has faster searching and browsing: The regular Restore feature has been improved to make searching and browsing backed up files faster.

Other

-          “Backup Jobs” in v1 are now called “Backup Plans” in v2

-          Backups to FTP servers are no longer supported: Memeo Internet Disk is the perfect way to protect your most critical files by backing them up to our world-class datacenter. Note that Memeo AutoBackup v2 will still continue to support backups to FTP destination if (a) user had a FTP backup in Memeo AutoBackup v1, (b) upgraded to AutoBackup v2. However, users will still not be able to create a new backup to FTP destination in Memeo AutoBackup v2.

 

About Memeo AutoBackup Backup Plans

When you create a “backup plan,” you specify what documents are backed up (“backup items”) and where they are backed up (“backup destinations”).

In the following examples, the “backup items” are shown in red, and the “backup destinations” are shown in blue.

  • Backup Plan #1: Back up all the files in your My Documents folder, all your financial files, and all your Microsoft Office Excel files (no matter where they are on your computer) to your external hard drive.

  • Backup Plan #2: Back up all your financial files and very important documents to Memeo Internet Disk, an online storage site for added protection.

  • Backup Plan #3: Use Memeo AutoBackup with your Apple iPod. With Memeo, you can catch up with your latest emails, review your notes, check the calendar, look up contacts, read news, and have you latest files wherever you go.

You don't have to choose one of these options: Memeo AutoBackup can do them all and more. And, once you set up your backup plans, you never have to think about backing up again. Your files are always backed up!

About Backup Destinations

You can choose from among many different types of backup destinations.

Note: In Memeo AutoBackup v2, FTP servers are no longer supported as a backup destination. Note that Memeo AutoBackup v2 will still continue to support backups to FTP destination if (a) user had a FTP backup in Memeo AutoBackup v1, (b) upgraded to AutoBackup v2. However, users will still not be able to create a new backup to FTP destination in Memeo AutoBackup v2.

You can also upload photos to Shutterfly online photo service , using a photo-sharing plan.

Memeo Internet Disk

Memeo Internet Disk is an optional service provided by Memeo for users of Memeo AutoBackup. Offering industry-leading data security and accessibility, Memeo Internet Disk allows you to save your most important files to a secure, private storage area that you can access from any computer that is connected to the Internet.

You can sign up for a Memeo Internet Disk account when you are setting up your backup plan in Memeo AutoBackup; just choose Memeo Internet Disk as your Backup Destination and click the Sign up now link. When you fill in the online registration form, your account is created and ready to use immediately.

After a 30-day free trial with 500 MB of storage, Memeo Internet Disk charges a small monthly or annual fee based on the amount of storage space you purchase. Visit http://www.memeo.com/MemeoInternetDisk.htm for pricing information.

Network Places

You can back up to a folder on a computer you are connected to over a network. You can use a folder on any computer that you can see when you click My Network Places in Windows.

Note: The other computer must be on your LAN or WAN network, not on the Internet. You must have read/write access to the designated folder, as well as an account on the networked computer. (If you can access the folder from My Network Places within Windows, you will be able to back up to it.)

Memeo AutoBackup will perform backups only when your computer is connected to the designated computer. If you are not connected, Memeo AutoBackup saves a list of all the files that have changed and will back them up when you reconnect.

Hard Disk

You can back up to any folder on your computer or on an external hard disk connected to your computer. For example, you could back up items on your C drive to a folder on your D drive.

Removable Storage Device

For step-by-step information about backing up to a removable storage device, click here.

You can back up to any type of storage device that you can plug in to your computer using a USB or FireWire connection. 

Memeo AutoBackup will perform backups only when the device is plugged in to the computer. If the device is not plugged in, Memeo AutoBackup saves a list of all the files that have changed and will back them up the next time you plug it in.

iPod

For step-by-step information about backing up to your iPod, click here.

With Memeo AutoBackup you can use your iPod as a storage device and back up not only user data but also Outlook e-mails, calendar, notes, contacts, etc.

There are three types of information that Memeo AutoBackup can copy to your iPod for viewing on the iPod itself:

  • Microsoft Outlook email, calendar items, contacts, notes, and tasks

  • RSS news feeds (RSS feeds are small text messages that usually contain news or "breaking" information.)

  • Your most recent photos from any folder on your PC (only for photo-capable iPods)

All other files you select are copied to your iPod as if it were an external hard disk. You can view and use them on your PC when your iPod is plugged into it.

Important: To copy files to your iPod, you will need to enable your iPod for hard disk use from within iTunes.

Memeo AutoBackup will copy information to your iPod only when the iPod is plugged in to the computer. If the iPod is not plugged in, Memeo AutoBackup saves a list of all the files that have changed and will copy them to your iPod the next time you plug it in.

All other files you select are backed up to your iPod as if it were an external hard disk. To view them, you must plug your iPod into a PC and then open the iPod in a Windows Explorer window. Double-click My Computer, double-click your iPod in the Devices with Removable Storage list, and open the Memeo folder to see your files.

About sharing photos on Shutterfly.com

Shutterfly online photo service is an optional service provided by Shutterfly.com. Upload photos to Shutterfly to print, share, and preserve your most precious photos.

Shutterfly

You can sign up for a free Shutterfly account when you are setting up your photo sharing job in Memeo AutoBackup. When you fill in the online registration form, your free account is created and ready to use immediately.

When you choose to share photos, only .jpg files will be uploaded to Shutterfly. All other files are ignored.

The album name on Shutterfly is the same as the sharing job name. All photos in all folders designated for a single sharing job are uploaded to one album. So, if you want to have photos placed in several different albums, each album must have its own sharing job in Memeo AutoBackup.

E very time you add a photo to a designated folder, it is automatically uploaded to your album and available for viewing online.

TIP: You might want to create special folders just for photos you want to upload to Shutterfly for printing and sharing. To copy a photo from another folder into your special upload folder, press the CTRL key while dragging the photo to the new folder; this moves a copy into the upload folder and keeps the original in its original folder.

To access your photos online using a Web browser, go to http://www.shutterfly.com/and enter the user name and password you created when signing up for your Shutterfly account. (You can find your user name on the confirmation e-mail sent to you after you signed up.)

To manage your online albums, log on to your account on shutterfly.com and follow Shutterfly's instructions for viewing, sharing, and ordering prints from your photos.

Memeo AutoBackup uploads your photos to Shutterfly only when your computer is connected to the Internet. If you are not connected, Memeo AutoBackup saves a list of all the photos that have been added or changed and will upload them when you reconnect.

Downloading Memeo AutoBackup

To download Memeo AutoBackup, go to http://www.memeo.com/download-backup.htm.

Note: If you already have a serial number, you will need to download the FREE TRIAL of Memeo AutoBackup and then use your (old) serial number to register the downloaded copy of Memeo AutoBackup.

 

Installing Memeo AutoBackup

Important: You must have Administrator privileges on the computer on which you are installing Memeo AutoBackup. Only user accounts with Administrator privileges can use Memeo AutoBackup. To learn more about Administrator privileges, refer to Windows Help. If you are the only user on your computer, you probably already have Administrator privileges.

You can install Memeo AutoBackup on a computer running the following operating systems:

  • Windows Vista

  • Windows XP Home Edition

  • Windows XP Professional Edition

  • Windows 2000 Workstation with Service Pack 4 installed

To install Memeo AutoBackup:

1.  Insert your Memeo AutoBackup CD. OR, download Memeo AutoBackup from the Internet.

2.  Double-click the Memeo AutoBackup installer icon. Wait while the installer starts.

3. When you see the installer welcome screen, click Next.

4. Read the End User License Agreement, and if you accept the terms, click I accept the terms of the license agreement and then click Next. Note that you have the option to print the End User License Agreement.

5. After the Memeo AutoBackup software is installed, click Finish.

In most cases, installation takes less than a minute. When installation is complete, you will see the Memeo AutoBackup Configuration Wizard.

You are now ready to configure Memeo AutoBackup to start protecting your data.

Note: If Memeo AutoBackup needs to install the .NET Framework on your machine, installation could take longer than 1 minute and you may need to reboot your machine before configuring Memeo AutoBackup. The installer will guide you through the process of downloading and installing the latest version of .NET Framework from Microsoft.

Purchasing and registering Memeo AutoBackup

For each computer on which you install Memeo AutoBackup, you need a unique product key.

  • If you are using a free trial of Memeo AutoBackup, in the main Memeo AutoBackup window you will see the number of days left on your free trial and a link for purchasing Memeo AutoBackup. When you click the BUY NOW link, you will make your purchase online using a credit card.  After you complete the purchase wizard, your copy of Memeo AutoBackup will be registered. You will also be sent a product key (also known as a "PID") via email.

  • If you purchased Memeo AutoBackup in a box, your product keys are on a sticker on the CD case.

If you ever need to re-enter your product key, open the Memeo AutoBackup application, choose Register from the Help menu, and type your product key. If you lose your product key, send an email to support@memeo.com and we will email your registration number to the email address you gave us when you registered your product.

If you need to use the Memeo OneClick Restore feature* to restore secure files that you backed up, you will need to enter the password. Note that all secure backup jobs require a password. If you had a secure backup plan in a version before Memeo AutoBackup Version 2 that did not require a password, then when you upgrade to Version 2, your backup plan will be “paused” (see image below) until a password is assigned. 

*It is strongly recommended that you use the Memeo OneClick Restore only in emergency situations. We advise you to install Memeo AutoBackup, reactivate the old backup plan, and then use the Restore Wizard to restore the files.

To assign a password, click on the icon (or text) for the applicable backup plan on the main application screen. A pop-up dialog box will appear prompting for a new password.

Because Memeo cannot retrieve user passwords assigned to secure backups, please store your password somewhere safe in case you need to retrieve it later.

Configuring Memeo AutoBackup

The Memeo AutoBackup Configuration Wizard walks you through the steps of selecting a backup destination, configuring it, and selecting the files to be backed up.

Selecting and Configuring a Backup Destination

Use the Select a Destination screen to specify choose the type of backup destination you want to configure.

Note:   If you just installed Memeo AutoBackup, the Select a Destination screen appears after you click Next in the Welcome screen of the Memeo AutoBackup Configuration Wizard. To configure Memeo AutoBackup at any other time, launch the Memeo AutoBackup application and click Create Backup Plan.

1. Select one of the following options:

·         Memeo Internet Disk: Backs up your documents to the Memeo Internet Disk online storage service.

·         Network Places: Backs up to another computer on your local network.

·         Hard Disk: Backs up your documents to an internal or external hard disk on your computer.

·         A Removable Device: Backs up to a removable storage device.

·         iPod Device: Backs up your documents and email, calendar, notes, contacts, and tasks to an iPod.

2. Follow the appropriate steps below to configure the type of backup destination you have chosen.

Backing Up to a Memeo Internet Disk online storage server

Note: You must be connected to the Internet when setting up a backup plan with Memeo Internet Disk as the destination.

1. In the Select a Destination screen of the Memeo AutoBackup Configuration wizard, select Memeo Internet Disk from the Destination list.

Note: To access the Select a Destination screen, click Create a Backup Plan from the main Memeo AutoBackup screen and then click Next to continue.

2. Type your User Name and Password for your Memeo Internet Disk account.

Note: If you don't have a Memeo Internet Disk account, click the link on the screen to sign up for an account. You will be able to use your new account immediately. After signing up, return to this screen in Memeo AutoBackup and enter in the user name and password you created when signing up.

3. Type the name of the folder on Memeo Internet Disk to be used for backups.

Note: This folder name is entirely up to you. The name "Memeo" is suggested by default. You will see this folder name if you access your files from the Internet.

4. Designate the number of additional versions of each file Memeo AutoBackup should save.

Note: The more versions you specify, the faster the storage space will fill up.

5. Specify whether you want a Secure backup by checking the box.

·         If you choose Secure, no one can see the contents of your files. They are protected from “prying eyes” with strong (128-bit) encryption. You must use the Memeo AutoBackup Restore or OneClick Restore feature to restore the files if you want to work with them again.

·         If you choose not to secure the backup, you can see the contents of your files just as if you had simply copied the files to the backup location. Anyone else who gains access to the backup location can also see them. To restore the files, you can use the Memeo AutoBackup OneClick Restore feature or simply copy them from the backup location to the location you want to work with them.

Backing Up to a Network Place

Follow these directions to back up to a folder on a computer you are connected to over a network. Click here for more information about backing up to a Network Place.

Important: Create a new folder on the networked computer to contain the backups, before continuing with these steps. You can name the folder anything you want. You will select this folder in step 3 below. Avoid backing up to the computer's C drive, as you could lose your backup if the computer has a catastrophic crash.

1. In the Select a Destination screen of the Memeo AutoBackup Configuration wizard, select Network Places as the Destination.

Note: To access this screen, click Create Backup Plan from the main Memeo AutoBackup screen, and then click Next to continue.

2. Click the blue underlined text that says Click here to select a backup folder. The folder section browser appears.

Note: It may take a moment for Memeo AutoBackup to scan your network.

3. Select a computer in the list, and then navigate to the backup folder you created.

4. To designate the number of additional versions of each file Memeo AutoBackup should save, check the box under the Optional heading and then enter the number in the available text box.

5. Designate the number of additional versions of each file Memeo AutoBackup should save.

Note: The more versions you specify, the faster the storage space will fill up.

6. Specify whether you want a Secure backup by checking the box.

Backing Up to a Hard Disk on Your Computer

Follow these directions to back up to a folder on your own computer.

Important: Create a new folder on your hard disk to contain the backups, before continuing with these steps. You can name the folder anything you want. You will select this folder in step 3 below. Don’t back up to your C drive, as you could lose your backup if your computer has a catastrophic crash. We highly recommend signing up for a Memeo Internet Disk account to protect your pictures and other irreplaceable files in case your hard drive fails.

1. In the Select a Destination screen of the Memeo AutoBackup Configuration wizard, select Hard Disk as the Destination.

Note: To access this screen, click Create Backup Plan from the main Memeo AutoBackup screen, and then click Next to continue.

2. Click the blue underlined text that says Click here to select a backup folder. The folder section browser appears.

3. Select a folder in the list.

4. To designate the number of additional versions of each file Memeo AutoBackup should save, check the box under the Optional heading and then enter the number in the available text box. Note that the number must be greater than or equal to 1 (one).

Backing Up to a Removable Storage Device

Important: Always use the "Safely Remove Hardware" iconin the Windows system tray (on the taskbar, next to the clock) before unplugging your storage device. Otherwise, you could corrupt the storage device and lose your files. By using the "Safely Remove Hardware" icon, you allow Windows to close any files that are still open on that device, thereby reducing the risk of a file becoming unreadable.

1. In the Select a Destination screen of the Memeo AutoBackup Configuration wizard, select Removable Storage Device as the Destination.

Note: To access this screen, click Create Backup Plan from the main Memeo AutoBackup screen, and then click Next to continue.

2. Either plug the removable drive into your computer, or select the drive letter from the list if the drive is already plugged in.

3. Designate the number of additional versions of each file Memeo AutoBackup should save.

Note: The more versions you specify, the faster the storage space will fill up.

Backing Up to an iPod

To use your iPod with Memeo AutoBackup, you must first enable it to be used as a hard disk. Follow these steps:

  1. Plug your iPod into your computer.

  2. On your computer, launch iTunes.

  3. Click the Edit menu, and then click Preferences.

  4. Click the iPod tab.

  5. Click the General tab.

  6. Select Enable disk use.

Important: Always use the "Safely Remove Hardware" iconin the Windows system tray (on the taskbar, next to the clock) before unplugging your iPod. (Your iPod may appear in the list as "USB Mass Storage Device".) Otherwise, you could corrupt the iPod and lose your files. Never unplug your iPod when data is being transferred.

Selecting Files to Back Up

Use the Select Files to Back Up screen to specify which files are backed up. Memeo AutoBackup shows a recommended selection that contains all the most common places where you have files that need to be projected. Simply click Next to accept the default selection, or you can add your own selections.

Note: If you are using the Memeo AutoBackup Configuration Wizard, the Select Files to Backup screen appears after you have configured the backup destination. To select files at any other time, launch the Memeo AutoBackup application and click Change Selected Files.

1. On the Select Files to Back Up screen, use the SmartPicks and/or Files and Folders tabs to select the items you want to back up by checking their corresponding boxes.

Memeo AutoBackup creates a “SmartPick” of the most commonly backed-up folders and application types. Memeo AutoBackup calculates the number of files and the total file size for each of the SmartPicks and any applications or folders you add to the list. While Memeo AutoBackup is tabulating the totals, items in the list appear in gray font; when the totals are complete the item turns black.

·       Folder: All files in the folder and subfolders within the folder (for instance, the My Documents folder and all its subfolders)

  • Application type: All files created by the type of application (for instance, word processing applications)

  • File type: All files of the specified type (for instance, .doc files). Some file types can be created by more than one application (for instance, .txt files can be created by many different word-processing programs) and some applications can create more than one file type (for instance, Microsoft Office Word can create .doc, .rtf, .txt, and other file types).

  • File type and folder: All files of the specified type within the specified folder and its subfolders (for instance, all .txt files in the My Documents folder)

2. Click the Done button.

Notes:

-          To add more items, simply click the Add Backup Items button and then select the files.

-          To exclude certain files, click the Show Advanced Options button. You will then see which items will be excluded from the backup. Use the Add Exclusion button to specify additional files/folders that should be excluded.

3. When you have finished selecting the files, click the Next button to continue.

4. In the Enter Backup Plan Name textbox, enter a name or description that will identify the backup. Note that this name cannot already be assigned to an existing backup plan.

5. Click the Next button. Memeo AutoBackup does the rest and immediately backs up all items you designated. After the initial backup, your new and changed files will be backed up automatically, with a small pop-up message briefly notifying you of the successful back-up.

6. To close out of the wizard, click the Done button and return to the main Memeo AutoBackup screen.

Important: The initial backup process can take a considerable amount of time, particularly if you chose to save all files of a particular application type, because Memeo AutoBackup must scan your computer for all the files. If you are using your computer for other work, it may take Memeo AutoBackup a long time to perform the initial backup because Memeo AutoBackup waits in the background until the computer is not doing any other work. After the initial backup, future backups will be considerably quicker and you probably won't even notice them happening. See the "Optimizing" section for more information.

Important: If backup storage space is not a concern, you do not have to wait for the scanning to be completed. Memeo AutoBackup will continue to track and monitor all items you designated in the Backup Items list till completion in the background. You can start to work immediately upon completion of your setup.

Important: When you select any of the default choices on the SmartPicks list, there are certain files Memeo AutoBackup will not back up. Please read the section “Files Memeo AutoBackup Does Not Back Up”.

Important: When you select a file type or application type, Memeo AutoBackup backs up all files of that type on the entire computer. If there are multiple users with accounts on the computer, Memeo AutoBackup backs up files made by all the users. On the other hand, if you select the My Documents or My Pictures folder from the Memeo AutoBackup SmartPicks list, Memeo AutoBackup backs up only the folder for the currently active user account (i.e., your account).

Important: When you select a file type or application type, Memeo AutoBackup must scan your entire computer looking for files of that type. This is considerably less efficient than backing up files in a particular folder. If you can limit the search to a particular folder (either by adding the entire contents of the folder to the backup or by limiting the application type to a particular folder), you will save a considerable amount of processing time.

File types for the SmartPicks

The following file types are included in the SmartPicks options:

If you want to back up other file types, you can select them separately by clicking the Add Backup Items button.

Special note about email files: Microsoft Outlook .pst files and Microsoft Outlook Express .dbx files are treated as a special case. Your .pst and .dbx files are backed up only once every 24 hours; because the file is an enormous file and is updated every time you send or receive an email, create a calendar item, and so forth, it is not practical to back it up continuously. The exception to this rule is that when you are updating your iPod with email, calendar items, notes, etc., (this feature is available only when you select the iPod destination in Memeo AutoBackup ), it will receive updates every time it is connected to your computer, as well as every 24 hours while it is connected.

Excluding Files and Folders from Your Backup

There may be situations when you want to exclude certain files from your backup plan. For instance, you may want to back up everything in My Documents except the contents of My Pictures. Or, you may want to back up everything on your computer except the contents of the D drive.

In these situations, select the applicable backup plan on the main Memeo AutoBackup screen, click the Change Selected Files option, and click the Show Advanced Options button. You will see a list of drives and file types, similar to the SmartPicks area. In this case, though, these items will not be backed up. For a complete list of file types Memeo AutoBackup usually does not back up, see the next section, "Files Memeo AutoBackup Does Not Back Up."

To exclude the contents of a folder that is not already in the list, click the Add Exclusion button, place a check in the box(es) of the items you want to exclude, and then click the Done button to return to the previous screen.

Files Memeo AutoBackup Does Not Back Up

Memeo AutoBackup is designed to back up your documents, not application files.

Memeo AutoBackup automatically excludes the following items from your backup plans:

  • .log (application log files)

  • .tmp (temporary files)

  • .vhd (Virtual PC Virtual Disk files)

  • Files in the Program Files folder

Important: If you want to include any of the above files in a backup, in the Select Files to Back Up screen, click the Exceptions tab and then uncheck the items you want to include.

The following items will never be backed up:

  • Files beginning with "~" (Word temp files)

  • ntuser.dat (system file)

  • Files inside the "Memeo" directory created on your backup destination (Memeo AutoBackup backup data)

  • Files in the Recycle Bin

  • Files in the System Volume Information directories (NTFS hidden directories)

  • Files in the Windows folder

  • Files that are marked "hidden"

  • Files that are specifically encrypted using Windows encryption. (Memeo AutoBackup cannot see the files). Memeo AutoBackup can back up files created with PGP and other 3rd-party encryption programs.

  • Memeo AutoBackup files that it is actively using to create the backup. (Otherwise, we would continuously be trying to save our own files while in the process of changing them which would cause another round, etc.)

  • Files in any folder named "Restored Items" or "Restored Items.1", etc. (This would create a conflict with the original source file.)

Secure backups

When you create a backup plan, you must specify whether the data you store will be Secure. If you choose to secure it, no one can see the contents of your files. They are protected from “prying eyes” with strong (128-bit) encryption.

When you look in your backup destination folder, you will see a Memeo folder, inside of which are two other folders: a folder with your backup plan's name and a folder named "_store".

  • In the folder with your backup plan’s name, you will see a folder structure the same as the folders containing the items you are backing up. In place of the actual documents contained in the folder, however, you will see documents with your filename plus the extension ".dcm". If you open a .dcm file, you will see that it contains "metadata" about the document and a pointer to the location of the encrypted document in the _store folder. You will notice that the pathname in the _store folder is an odd mix of characters.
     

  • In the _store folder, you will find a series of folders with odd names, such as "#aQ#qG7". Deep inside these folders you will find documents that also have odd names. These documents are the encrypted versions of your original files. You can open them in a text editor if you want to peek (don't save any changes!!!), but you will find that they are gibberish.

A nice benefit of the way encrypted files are stored is that if you have multiple copies of the exact same file on your computer, Memeo AutoBackup backs it up only once and then points to it from all the original folder locations. This feature means a considerable space savings if you are backing up multiple identical versions of files.

You must use the Memeo AutoBackup OneClick Restore application to restore the files if you want to work with them again. Note that encrypted backups are password protected. If you need to use the Memeo OneClick Restore feature to restore secure files that you backed up, you will need to enter the password. If you had a secure backup plan in a version before Memeo AutoBackup Version 2 that did not require a password, then when you upgrade to Version 2, your backup plan will be “paused” until a password is assigned. 

To assign a password, click on the icon (or text) for the applicable backup plan on the main application screen. A pop-up dialog box will appear prompting for a new password. Because Memeo cannot retrieve user passwords assigned to secure backups, please store your password somewhere safe in case you need to retrieve it later.

The following iPod-only items are never encrypted: email, calendar items, notes, contacts, tasks, My Recent Pictures, and RSS feeds. They can be viewed in the iPod.

Creating a photo-sharing plan

After you have created a backup plan, you also have the option of creating a photo-sharing plan to upload photos automatically to Shutterfly online photo service.

Note: You must be connected to the Internet when setting up a photo-sharing plan.

1. On the left side the Memeo AutoBackup application, select Share Photos Online.

2. On the Welcome screen, click Next.

3. Type your user name and password for your Shutterfly account.

Note: If you don't have a Shutterfly account, click the link on the screen to sign up for an account. You will be able to use your new account immediately. After signing up, return to this screen in Memeo AutoBackup and enter in the user name and password you created when signing up.

4. Click Next.

5. On the Select Files To Back Up screen, select the folders that contain the photos you want to upload to Shutterfly.

Tip: To add photos in other folders, click the Add Backup Items button, specify the desired files, and then click the Done button.

6. Click Next.

7. Specify the name of the photo sharing plan, and then click Next. A confirmation page will soon appear.

8.  You can click Back to make any changes, or click Done if you are finished.

The Memeo AutoBackup Configuration Wizard closes and the Memeo AutoBackup application opens. Memeo AutoBackup immediately uploads up all the photos you designated. After the initial upload, Memeo AutoBackup uploads new photos when they are added to the designated folder.

Important: The upload process can take a considerable amount of time if you are uploading a lot of photos. If you are using your computer for other work, it may take Memeo AutoBackup a long time to perform the upload because Memeo AutoBackup waits in the background until the computer is not doing any other work.

The Memeo AutoBackup application

You can use the Memeo AutoBackup application to:

 

To open the Memeo AutoBackup application:

1. Double-click the Memeo AutoBackup icon on the desktop or in the

system tray (next to the clock on the Windows taskbar).

Click the Start menu button, point to All Programs, point to Memeo, and then click Memeo AutoBackup.

Monitoring backup plans

You can use the Memeo AutoBackup application window to monitor your backup plans if you want to. In general, once your backup plans are configured the way you want them, you shouldn’t need to monitor the backups; they happen automatically in the background while you work.

You can monitor the following things in the Memeo AutoBackup application window:

To see backups in progress

To watch a backup plan in progress:

1.   Open the Memeo AutoBackup application.

2.   If necessary, scroll the list of backup plans so that the one you want to see is on the screen.

If files are currently being backed up, you will see the filenames quickly appear on the left, beneath the picture of the computer. You will see the number of files increase on the left, beneath the picture of the file folder.

Note: Even when the Memeo AutoBackup application is not open, you will see a brief pop-up message every time a file is backed up. To turn the pop-ups on or off, right-click the Memeo AutoBackup icon in the system tray and choose Show Desktop Alerts. You can also turn Desktop Alerts off by clicking the close box (x) in any pop-up message.

To see which file types and folders are being backed up

To see what file types and folders are being backed up:

1.      In the Memeo AutoBackup application, select the backup plan you want to monitor by clicking in the white space below the backup plan name.

2.      Click the Changed Selected Files option on the main Memeo AutoBackup application window. You will then see all the backup items currently included in the backup plan.

To see your backup log and error messages

To see if there have been any errors in attempting to back up your files, you can view them by clicking the Show Backup Log option on the Memeo AutoBackup main application window.

To see detailed information about the error, click the error entry on the list. To remove an error, simply check the checkbox for the applicable error and then click the Clear Selected Errors button. Note that you can also remove all errors in this window by clicking the Clear All Errors button. To exit this window, click the Close button.

You can use this log if you should ever need to contact technical support.

Important: When files have not been backed up, the main application window will reflect that with different colored icons. A Blue icon means that the backup plan was completely successful, with no warnings or errors. A Yellow “warning” icon means that at least one “transient” problem has occurred. If you click on the yellow icon (or select the backup plan and then click the Show Backup Log option, an Error Log window appears with additional information. A Red icon on the main application screen informs you that there was at least one error (as opposed to “warnings”). It means that either 1) a file was not backed up due to some error, or 2) the backup plan requires user intervention due to a serious problem. There are two situations where user intervention is required: 1) the backup destination has run out of room, or 2) the security password provided for a secure backup plan is invalid. In either case, you must click on that icon to resolve the problem.

Note: Memeo AutoBackup attempts to resolve any errors it encounters and does not create a log entry if the error is resolved and the file is successfully backed up. Any file that is listed in the backup log is not backed up.

Pausing all backup plans

There may be times that you want to pause backups for a period of time. For instance, you may not want to have backups running while you are playing a game on your computer or while you are copying a large number of files onto your computer.

You can pause all backup plans by clicking the link on the left side of the Memeo AutoBackup application window , or by right-clicking the Memeo AutoBackup icon in the system tray and choosing Pause Backups.

When you pause the backup plan, Memeo AutoBackup saves a list of all the files that have changed and will back them up when you resume backups again by clicking Resume All Backups in the Memeo AutoBackup application or by right-clicking the Memeo AutoBackup icon in the system tray (next to the clock) and choosing Resume All Backups.

Important: You cannot pause only one backup plan if you have several backup plans.

Creating and configuring backup plans

You can create a new backup plan any time using the Memeo AutoBackup Configuration Wizard.

To open the Memeo AutoBackup Configuration Wizard from within the Memeo AutoBackup application:

1.   Click Create Backup Plan.

2.   Follow the steps under “Configuring Memeo AutoBackup.”

Changing backup settings

Changing which files and folders are backed up

To change which files and folders are backed up:

1.      In the Memeo AutoBackup application, select the backup plan you want to change by clicking in the white space below the backup plan name.

2.      Click Change Selected Files on the left side of the Memeo AutoBackup application window.

If you change the backup rules, Memeo AutoBackup will back up only the files that are covered by the new rules.

Important: All files on the backup destination that are no longer covered by the backup rules are marked as delete-able. Memeo AutoBackup deletes those files whenever it needs more space.

For example, suppose you were backing up all Microsoft Word and Microsoft Excel documents. You might change the rules to back up Microsoft Word documents only, and stop backing up Microsoft Excel documents. Then, any Microsoft Excel documents will no longer be backed up. And, if the Memeo AutoBackup needs more space, it will start to delete the Microsoft Excel documents from the backup destination.

Changing backup destination settings

You can change the settings for the folder, Memeo Internet Disk, or removable storage device you have selected, but you cannot change between these different types of backup destinations.

To change the backup destination settings:

1.      In the Memeo AutoBackup application, select the backup plan you want to change by clicking in the white space below the backup plan name.

2.      Click Change Selected Settings on the left side of the Memeo AutoBackup application window.

You can select a new backup destination, but it must be the same type of destination (Hard Disk, Network Place, Removable Device, or Memeo Internet Disk).

Memeo AutoBackup will proceed as if you have never backed up the documents before, performing a full initial backup to the new location.

The backed-up files on the old destination will remain there unless you delete them manually in Windows. If you want to restore a file from the old backup destination, you need to create a new backup plan with that location as the destination. Then you can use the Restore feature.

Removing a backup plan

To remove a backup plan:

1. In the Memeo AutoBackup application, select the backup plan by clicking in the white space below the backup plan name.

2.  Click Remove Backup Plan on the left side of the Memeo AutoBackup application window.

When you remove a backup plan, the files you backed up remain in the backup location. If you chose the Secure option when you created the backup plan, the files are encrypted. The only way to restore those files is to create a new backup plan linking to the same backup location, then use the Restore feature in the Memeo AutoBackup application.

Restoring backed-up files

Someday, you may need to restore some or all of the files you have backed up. You might:

  • Accidentally delete a file you want to keep

  • Want to compare a current document with a previous version

  • Suffer a catastrophic hardware failure, loss, or theft*

* If you need to reinstall Memeo AutoBackup before restoring your files, see the next section, "If you are not currently backing up to the destination you want to restore from."

Restoring files you backed up with Memeo AutoBackup is easy:

  1. Click the Restore Files link on the left side of the Memeo AutoBackup application window.

    -OR -
    Right-click the Memeo AutoBackup icon in the system tray  and choose Restore Files.

2.   Select the backup plan you want to restore files from.

Note: See the next section if you do not have a current backup plan for the destination you want to back up from.

3.   If you are searching for a particular file, type all or part of the filename in the text box.  If you are searching for a particular type of file, check the box next to the SmartPicks category of the file. Click Search.

4.    Click the file you want. You can select multiple files using Shift+Click or Ctrl+Click.

Note: Previous versions of a file are listed in italic. Files that you have deleted from your original source are marked with a strikethrough; they are still available to be restored.

5.      Select the location where you want Memeo AutoBackup to place the restored files. By default, the files will be placed in a Restored Files folder on your computer's desktop.

6.      Click the Restore button.

7.      When you are done restoring files, click the close box (x) on the Restore window. Memeo AutoBackup runs in a separate window.

If you are not currently backing up to the destination you want to restore from

You can restore files from a destination you are no longer actively backing up to. This procedure is sometimes referred to as "re-activating."

Important: To use the Restore feature, your copy of Memeo AutoBackup must have the same Product Key ("PID") as the copy of Memeo AutoBackup that created the backup.

To restore files from a destination you aren't currently backing up to:

1. In the Memeo AutoBackup application window, click Create Backup Plan.

For detailed instructions on creating a backup plan, see "Configuring Memeo AutoBackup" after reading these steps

2. When the Welcome screen appears, click Next to continue.

3. In the Select a Destination screen, select the old backup destination folder from which you want to restore files. (See Tip below for help finding the old folder.) Click Next.

You will see a dialog box that will allow you to either create a new backup plan or select the old backup plan.

4. Select the old backup plan, which is listed in the lower half of the dialog box, and click OK.

5. You see the Select Files to Back Up screen, with the same selections as the old backup plan. If you simply want to restore backed up files, deselect all the backup items so that no new backups will occur. If you want to resume backing up to the old destination, you can leave the old items selected or make new selections.

6. Click Next.

7. In the Congratulations screen, click Done.

You can now follow the steps above for restoring files.

Tip: To find the old backup destination folder on the destination drive, in Windows look for a folder that contains a folder called "Memeo", which will contain a folder with the backup plan name and a text file named DO NOT MODIFY!!.txt. Select the folder that contains the Memeo folder; do not select the folder inside the Memeo folder.

If the backup destination is full

If your backup destination runs out of space, you will see a dialog box from Memeo AutoBackup. You will have three options:

Note: If you are using Memeo Internet Disk, you will receive email from Memeo when you are running out of storage space. You will have the option to purchase additional space.

Changing backup rules

If you change the backup rules, Memeo AutoBackup will back up only the files that are covered by the new rules. All files on the backup destination that are no longer covered by the backup rules are marked as delete-able. Memeo AutoBackup deletes those backup files whenever it needs more space.

For example, suppose you were backing up all Microsoft Word and Microsoft Excel documents. You might change the rules to back up Microsoft Word documents only, and stop backing up Microsoft Excel documents. Then, any Microsoft Excel documents will no longer be backed up. And, if the Memeo AutoBackup needs more space, it will start to delete the Microsoft Excel documents from the backup destination.

Changing to a new backup destination

You can select a new backup destination, but it must be the same type of destination (Hard Disk, Network Place, Removable Device, or Memeo Internet Disk).

Memeo AutoBackup will proceed as if you have never backed up the documents before, performing a full initial backup to the new location.

The backed-up files on the old destination will remain there unless you delete them manually in Windows. If you want to restore a file from the old backup destination, you need to create a new backup plan with that location as the destination. Then you can use the Restore feature.

Deleting files from the backup location

If you select this option, Memeo AutoBackup displays a list of every file (and version of each file) contained in the backup location. Place a checkmark next to the files you want to delete from the backup location. This is a good way to get rid of backups of files you deleted from your computer and don't need a copy of; files you deleted from your computer are marked with a strikethrough in the list.

Warning: Be careful! You could delete your only copy of a file if you deleted it from your computer and then delete the backup. Make certain you will never need the file.

Note: If you delete the backup of a file that is still on your computer and the file is still being backed up, Memeo AutoBackup will back up the file again.

This option is available only if Memeo AutoBackup runs out of space in the backup destination. There is no way to select individual files to delete from the backup destination at any other time, unless you use Auto Delete.

If You Delete a File that has been Backed Up

If you delete a file that has been backed up, the backup of the file is marked as delete-able. Memeo AutoBackup deletes those files whenever it needs more space in the backup destination.

If you want to set Memeo AutoBackup to automatically delete files from the backup destination when you delete them from your computer, right-click the Memeo AutoBackup icon in the system tray (next to the clock) and choose Auto Delete . When Auto Delete is active, any time you delete any file it is immediately* deleted from the backup location. Use this feature with caution!

If you want to use Memeo AutoBackup to archive files that you intend to delete from your computer, create a backup plan specifically for that purpose and then remove the backup plan once all the files have been backed up. Then delete the files from your computer. The files will not be deleted from the backup location, even if other backup jobs use space on the same backup destination disk. To restore them later, see " If you are not currently backing up to the destination you want to restore from."

Notes about Optimizing Your Computer's Performance when using Memeo AutoBackup

The first time you create a backup plan, Memeo AutoBackup scans your computer to find and index all the files on your computer. This can take a while, but Memeo AutoBackup only needs to do it once. After the initial setup, Memeo AutoBackup maintains the index as you add and delete files.

Likewise, the first time you run a backup plan, Memeo AutoBackup backs up all the files you specified. After the initial backup, Memeo AutoBackup only has to back up added and changed files.

Memeo AutoBackup will require more of your computer's processing time if you back up files by application type, and less processing time if you back up by location. When you select a file type or application type, Memeo AutoBackup must scan your entire computer looking for files of that type. This is considerably less efficient than backing up files in a particular folder. If you can limit the search to a particular folder (either by adding the entire contents of the folder to the backup or by limiting the application type to a particular folder), you will save a considerable amount of processing time.

Memeo AutoBackup will use your computer's processing time only when no other applications are using it. So, if you are using the computer for other work, Memeo AutoBackup will wait in the background before using your computer's processor to back up files. Therefore, using Memeo AutoBackup should never slow down the work you are doing on your computer. The exception to this rule is that if the Memeo AutoBackup application window is open, Memeo AutoBackup will use the computer's processor on a "low priority" basis.

Getting Product Updates

Be sure to check back often for product updates. Memeo AutoBackup checks for updates automatically whenever you reboot your computer, as long as you are connected to the Internet and will notify you via a pop-up window when updates are available. Or, you can also visit http://www.memeo.com/.

Tutorial

Here's a quick step-by-step tutorial for setting up the three backup jobs described in the " About Memeo AutoBackup Backup Plans " section.

Backup Plan #1: Back up all the files in your My Documents folder and all your Microsoft Office Excel files (no matter where they are on your computer) to your external hard drive.

1. From the main Memeo AutoBackup application screen, click Create Backup Plan.

2. When the Welcome screen appears, click Next.

3. On the Select a Destination screen, select Hard Disk as the Destination.

4. Click the blue underlined text that says Click here to select a backup folder. A folder selection browser appears.

5.  Click the Plus sign next to My Computer, then select your external hard drive (or any location other than the C drive).

6. Click Make New Folder, type “Memeo Backup Test 1” as the folder name, and then click OK.

On the Memeo AutoBackup configuration screen, you should see: Back up files to: G:\Memeo BackupTest1.Note that your drive letter may be different than G.

7. Leave the default number of additional versions and check the Secure box.

8. Click Next to continue.

9. On the Select Files To Back Up screen, place a checkmark next to Files in My Documents, and then click the Done button.

10. Click the Next button.

11. In the Enter Backup Plan Name textbox, type “My Documents and Word Files,” and then click the Next button.

12. When the Congratulations screen appears, click the Done button.

13. To back up the Excel files, click the Change Selected Files option on the main Memeo Autobackup screen.

14. On the SmartPicks tab, click on the “Word processing documents, Spreadsheets, and Presentations” list item.

15. When the pop-up screen appears, check or clear the applicable checkboxes. For example, make sure the Microsoft Excel documents (.xls file extension) are checked, and then click the OK button.

16. On the SmartPicks tab, click the Done button.

17. On the Select Files to Back Up screen, click the Next button.

18. Provide a Backup Name, and then click the Next button.

19. When the Congratulations screen appears, click the Done button.

Memeo Autobackup will begin to back up your files. To remove the backup plan, click the Remove Backup Plan option on the left side of the Memeo Autobackup application window.

Backup Plan #2: Back up all your financial files to Memeo Internet Disk.

1. From the main Memeo AutoBackup application screen, click Create Backup Plan.

2. When the Welcome screen appears, click Next.

3. On the Select a Destination screen, select Memeo Internet Disk as the Destination.

4. Enter your User Name and Password for your Memeo Internet Disk account, and type “Finances” as the folder name.

Note: If you don’t have a Memeo Internet Disk account, click the Here link under the New Users heading to sign up for an account. You will be able to use your new account immediately.

5. In the available textbox, type “10” as the number of additional versions of each file Memeo Autobackup should save. Note that since you’re saving only your finance files, you may want plenty of versions and you still won’t use up too much space.

6. Make sure the Secure option is NOT checked. Only somebody with your Memeo Internet Disk user name and password can access your files, so you only need to choose Secure if the files are really Top Secret. By not making them secure, you can download them from the Internet to any computer.

7. Click the Next button.

8. In the Select files to back up screen, click on the Financial Files list item.

9. When the pop-up window appears, check or clear the applicable financial files you want to back up, and then click the OK button.

10. Click the Done button.

11. For the backup name, enter “Finances,” and then click the Next button.

12. When the Congratulations screen appears, click the Done button.

To view your backed-up files on the Internet, go to http://memeo.memeo.com/ and enter your login information, and then click the Sign In button. At this point, you can click on a folder name (in this case, the Finances folder) to open or download.

To remove this backup plan at any time, click the Remove Backup Plan option on the left side of the Memeo Autobackup application window.

Backup Plan #3: Upload the 50 most recent photos in your MyPictures folder to your Apple iPod, display them on your iPod, and download them from your iPod to another computer at a different location.

Make sure the iPod is enabled for hard disk use before starting this tutorial.

1. From the main Memeo AutoBackup application screen, click Create Backup Plan.

2. When the Welcome screen appears, click Next.

3. On the Select a Destination screen, select iPod Device as the Destination.

 4. Plug the iPod into your computer, or select the drive letter from the list if the iPod is already plugged in.

5.  Type "1" for the number of additional versions of each file Memeo AutoBackup should save. (It’s unlikely that you’ll want to keep multiple versions of a photo.)

6. Confirm that the Secure box is not checked. (You want to be able to copy them from the iPod manually to another computer.)

7. Click the Next button.

8. On the SmartPick tab, click the blue text of the My Recent Pictures. A pop-up window appears letting you specify where the pictures to copy to your iPod come from.

9. Make sure that My Pictures is selected.

10. Set the number of pictures to download to 50, and then click the OK button.

11. Click the Next button.

12. Name the backup plan as “Photos to iPod”.

13. When the confirmation page appears, click the Done button. Memeo AutoBackup begins to back up your files. To remove the backup plan at any time, select this backup plan and click Remove Backup Plan on the left side of the Memeo AutoBackup application window.

14. Open the iTunes application from Apple Computer.

15. In iTunes, choose Edit > Preferences, and then click the iPod tab.

16. Click the Photos tab.

17. Select the Synchronize photos from checkbox and choose the My Recent Photos folder on your iPod.

18. Click the OK button.

19. After iTunes finishes updating your iPod, go to your iPod and view your photos by choosing Photos > Photo Library.

20. To download the photos to another computer, plug your iPod into the computer, double-click the iPod in the Removable Storage Devices section of the My Computer list, and copy over the original photos from the My Recent Pictures folder on the iPod. (The photos in the Photo Library area are in iPod's photo format and cannot be viewed on a PC.)
